Joining by team link — let colleagues sign up themselves

Last updated: October 21, 2026

Besides the invitation by email there is a second way into the team: the team link. You share one link, your colleagues sign up themselves, and you then decide for each person whether they get in.

Nobody joins without your approval. Whoever signs up through the link only sees a waiting page — no conversations, no customers, no settings.

Switching it on

  1. Open Team.
  2. In the Join by team link card, switch the toggle on. You need the Manage team permission.
  3. Copy the link and give it to your colleagues.

The link is only created when you switch it on. Joining by link is off by default.

Under Default role you choose which role is preselected on approval (default: Agent). You can change it for every request. The "Owner" role can never be chosen.

What your colleagues see

They open the link and sign up as usual with their email address and the confirmation code. Then a waiting page with your team's name appears. If they sign in again later they see the same status: waiting, approved or not approved.

Reviewing requests

Every request appears in the Join requests card on the Team page. You get a notification in the bell and by email; you can switch that off in your notification settings.

  • Approve adds the person to the team with the chosen role. They receive an email.
  • Reject closes the request. The person is told by email as well.

Approving uses one seat in your plan. If the limit is reached, SilentChat refuses the approval and says why — the request stays open.

How long requests are kept

  • An open request expires after 14 days.
  • Approved, rejected and expired requests are deleted 30 days after the decision.

Renewing or switching off the link

  • Renew link creates a new link. The old one stops working; open requests stay.
  • If you switch the toggle off, the link only shows "invalid". Requests already made stay.

If you shared the link publicly by mistake, renew or switch it off. Anyone who already has it can still register — but only you decide who joins the team.

Invitation or team link?

  • Invitation: you know the person and want to invite them with a specific role.
  • Team link: several colleagues should sign up on their own; you review each request.
